Users must create contact profiles (freelancers & artists) before uploading their media to their account. Providing as much contact and media information as possible will optimize search features once the data has been imported.

This FAQ explains how to optimally prepare and import your artist & freelancer data by batch to your Mediartis account.

In Mediartis / Contacts / Import Contacts

Download the Excel Contact Import Template here or in Mediartis / Contacts / Import Contacts. Mandatory data for creating contact profiles: First name, last name, email address

Completing the Contact-Import Template

The data you provide in this template will auto-generate searchable contact profiles. Provide as much information as possible for optimal data management and search results.

The following data (non-exhaustive) can be included in your import:

  • First name, last name, pseudo
  • Telephone, address, email
  • Birthday
  • Notes
  • Tags
  • Spoken languages – accents – level
  • URL links
  • Alerts
  • Agent information
  • Union
  • Min rates
  • Payment methods
  • Spoken range
  • Singing range
  • Ages played
  • Recording info: onsite / home studio
  • Professions (voice actor, translator, subtitler, dancer, singer, VFX, sound-mixer, etc.)
  • (Profession) categories (advertising, video game, dubbing, legal, ballet, hip hop, opera, etc.)

NOTE: Use TAGS to categorize your data if the Mediartis data fields do not propose your criteria. Example: EN-FR, EN-IT, Project1532, etc.

Importing your contact data

Once completed, Drag & Drop the template into the upload box or click the upload box and upload the template from your computer.

Mediartis automatically runs a file pre-check to identify errors. If errors are found, click the info bubble next to the associated contacts for details. You can complete the upload for the other contacts and manage the errors afterwards.

After platform pre-check, click Add Contacts to complete batch import.

Once your contact data has been imported, you can upload associated media. See FAQ Import Media for details.

Create a profile

In Mediartis / Contacts / Create Contact

Data you provide in contact profiles is integrated into your search engine, thus by providing as much information as possible, your teams will have quicker access to pertinent talent profiles.

Certain fields are not visible if corresponding data has not been specified (ie singing styles is not visible in categories if singer has not been specified in professions).

IMPORTANT ! You must click ‘Validate’ to record spoken languages-accents-levels, email addresses, links, telephone, addresses, agent information and pricing data.

SAVE your changes when finished

TIP: Use TAGS to create specific talent pools and to provide data not supported by existing fields, they are searchable.

Delete a profile

To delete a contact, jump to Contacts:

  • Select the contact you want to delete
  • Click “# of contacts selected” on top of Contact list
  • Select Remove # contacts from dropdown menu
  • Confirm when prompted

Contact deletions cannot be undone

GDPR automated processing voice samples

Mediartis uses email addresses as contact identifiers. Duplicate contacts are recognized by the email provided during import or when creating contacts individually. Duplicates are not recorded and data may not be merged.

If you import the same contact several times with different email addresses, it will not be recognized as a duplicate and a new contact profile will be generated.

Setting Up the Master Folder

  • Create a master folder.
  • Inside the master folder, create subfolders for each Contact using their names (identical to their profiles).
  • Add media files to the dedicated Contact folders.
  • Media names need not include the contact name.

Completing the Import Template

  • Download the Excel Media Import Template here or in Mediartis / Media / Import Media.
  • Save the template at the root of your master media folder.

Complete the template with:

  • First and last names of corresponding Contacts.
  • As much information as possible for each media for optimal search results after import. Provide tags for data not proposed by existing Mediartis data fields in the template.
  • List of media files to import – 1 file per line (Refer to FAQ ‘Generate Media PATHS’ for step-by-step instructions on exporting this data by batch).
  • Specific file *PATH for each media (Refer to FAQ ‘Generate Media PATHS’ for step-by-step instructions on generating PATHS by batch).

Note: File PATHS correspond to the directory paths leading to the media files from the root folder.

Compressing the Master Folder into a Zip File

  • Select the Master Casting Folder
  • Right click and select “Compress DATABASE NAME”

Once your folder is compressed into a Zip you’re ready to import.

This article will help you format the media import template (available here) with media PATHs that you’ll upload with your media files. The finished template will look like this :

How do I Generate File Paths?

Generating file Paths is easiest with an Excel add-on or a dedicated software that generates file PATHs by batch. In this article, we use “FilelistCreator” available for free here.

DRAG AND DROP your Master Folder into the FilelistCreator

Set the following parameters:

  • Select “Files” in Include
  • Select “Path” in Columns/General
  • Select “Excel Spreadsheet XLSX” in Export Format
  • Copy the PATH by clicking “Clipboard

How do I Modify the File Paths for the Template?

PASTE the PATHs in the Excel document medias-template.xlsx (paste from cell 2a)

In cell 2A, HIGHLIGHT and COPY the data path from the start of the PATH up to the name of the Master Folder (named Casting Database in example) as seen below :

  • SELECT Column A
  • OPENFind” window (ctrl +f)
  • PASTE  (ctrl + v) the text from your clipboard to the “Find” field
  • Leave “Replace with” field empty
  • CLICK  “Replace All
Your file should now look like this
  • SELECT Column A and COPY
  • SELECT Column C and PASTE
Your file should now look like this
  • SELECT Column A and OPEN “Find” window (ctrl +f)
  • TYPE the name of your Master Folder and “/” after the name (without spaces) in “Find” field (example: “Casting Database/”)

Your data is ready to be copied to the template medias-template.xlsx. DO NOT MODIFY the headers of the template.

SAVE the finished template at the same level as your contact subfolders.

In Mediartis / Media / Import Media, media can be imported by batch and associated with multiple contacts or with drag and drop for one unique contact. Media must be associated with existing contacts.


Before you import by batch to multiple Contact profiles

  • Confirm the Contacts for whom the media will be associated have been created.
  • You must have Create permissions to import media into Mediartis.
  • Structure your import files.
  • Complete media import template with as much information as possible to ensure optimal search after import. Provide at minimum first name, last name and media PATH. Download the template here or in Media / Import Media.
  • Media and import template must be compressed into a zip file.

Import by batch

  • Drag & drop the compressed zip file to the Import Box or Upload the zip from your computer.
  • On the left side of the screen, DRAG and DROP your zip file in the import zone OR CLICK the import zone to upload the zip file from your computer.
  • Wait while your files are extracted from the zip file, and check if your import has any error listed (if that is the case, make the necessary changes and re-import your file).
  • Click on ‘Add these media to my database‘ or the files will not be imported.
  • The Zip file MUST contain the completed ‘medias-template.xlsx’ and Subfloders named by Contact with their media inside.
  • Confirm the number of entries found corresponds to the number of media you are uploading.
  • If you have error messages, click the error icon to see the cause.
  • Errors are often caused by the misspelling of a contacts name.

Import with drag & drop to individual Contact profiles

  • Select Contact name from dropdown menu (top right)
  • Drag & Drop external media files to the Import Box or Upload the files from your computer
  • Confirm the upload after Mediartis runs an import pre-check
  • Click on ‘Add these media to my database‘ or the files will not be imported.

Make sure you have already imported or created contacts to your database before trying to import their media. Without this step, media cannot be associated with a contact.

Categorization and tagging of contacts and media can be done during batch imports, and also once the data has been imported. Categorization and tags are critical for optimizing data organization, search results and management across your team.

NOTES – If existing Mediartis data fields do not offer the filters you need, this data can be provided as tags separated by commas “,” in the Tags section of contact & media details, and in the Tags column of the batch import templates. See FAQ Using tags for more information.

  • Click the “pen” icon next to “Contact details” to modify profile.
  • SAVE changes when finished

Contact categorization options in the sidebar are not as extensive as options in full contact profiles.

  • Click “lock” icon to edit
  • Click “disk” icon to save changes

Tags help you organize and standardize information in your contact profiles and media when existing Mediartis data fields do not offer the filters you need. Tag your data for more efficient search and management across your team.

TAGGING CONTACTS

When importing contact data by batch, unlimited tags can be included in the contact import template separated by commas “,” in the Tags column.

Tags can be added to contact profiles, either directly in the full profile or via the contact details sidebar. For more information see FAQ Contact Profiles.

TAGGING MEDIA

When importing media by batch, unlimited tags can be included in the media import template separated by commas “,” in the Tags column.

Tags can be added to media files after import via the Media details sidebar. For more information see FAQ Categorizing Contacts & Media .

NOTE: Adding and modifying Tags (and Notes) does not trigger GDPR workflows. Tags and Notes are not visible in Contact Interfaces when enrolled in GDPR processing.

In Mediartis / Contacts you can search and browse your own freelancer and artist profiles and also include Voxing Pro talents in your searches.

BASIC TALENT SEARCH

Use the search bar for quick searches by name, pseudo, telephone, email, profile tags and notes.

Click header filters for different views (Name / Gender / Country / Spoken Languages / GDPR Status).

To include voice talent profiles from Voxing Pro in your searches, simply select this option at the top of the page.

PRECISION SEARCHES WITH SEARCH FILTER SIDEBAR

Click “Search filters” button (top left) or the “magnifying glass” icon (bottom right) to open the search filter sidebar. Search results update in real-time.

VIEW TALENT PROFILES

  • To open an overview of the contact details, click the “tag” icon (bottom right).
  • To open a contact’s complete profile, click the “person” icon (next to talent name).

ACCESS TALENT MEDIA

  • Click the “music note” icon (next to talent’s name) to open the talent’s media list and read files.

In the media section you can search and browse your own media, and you can also choose to include Voxing Pro talent bank media (1,500 international artists and their 21,000 media) in your searches, simply select this option at the top of the Media page.

To search media, use the search bar for quick searches by file name, media tags, profile tags and notes, talent first or last name, telephone, email …

Click “Search filters” (top left) or the “magnifying glass” icon (bottom right) to open the precision search filter sidebar and search by gender, sector, trade, experience, language, accent, media status, address, spoken & singing range, voice age, and much more ! Search results update in real-time.

Contact profiles can be created by batch or individually, and are accessible from both the Contacts and Media sections.

From the contacts list

  • Click the “person” icon (next to talent name) to open complete profile.
  • Click the “pen” icon to make modifications.
  • Click the “save” icon to record your changes.
  • Click “Contacts media list” button (top right) to access their media.

From the Media Navigator

  • Click the “tag” icon (bottom right).
  • Click the “lock” icon to modify the profile while still viewing your search result list.
  • Click the “save” icon to record your changes.

In Mediartis / Media, the media navigator opens when you start playing a media or by clicking the toggle bar on the bottom right of the screen.

From the media navigator, you can:

  • Add media directly to an existing or new casting
  • Open sidebar to view and edit search filters, talent profile and media data
  • Listen to audio files
  • Watch videos in integrated media player
  • Shuffle media of one talent
  • Shuffle media of talent search results
  • Easily navigate between previous and next talents and media

Only Account Owners, Administrators and Experts can download media from the account.

To download :

  • one media: click on the download icon located at the end of the media line.
  • several media: select the desired media then in the action menu click on “Download”.

Contacts cannot download or transfer media from their interface (accessed when they are entered into GDPR processing). An audio and visual watermark is superimposed over the original media for added security.

Clients cannot download media, but they can share a link to a casting they were sent via streaming if given the authorization.

Mediartis offers users access to a pre-vetted international talent bank of 1,500 artists. Access is included in all Mediartis subscription plans, and users contact and negotiate directly with artists.

Search Voxing Pro talent profiles

In Mediartis / Contacts:

  • Select “Include contacts from Voxing Pro”
  • Open search filters, specify criteria and validate
  • Open talent details sidebar to view profile
  • Click “person” icon to view full profile
  • Click “VP” to open talent’s Voxing Pro page (CV, photos, etc.)
  • Click to visualize telephone and email

CREATION

New castings can be created in Castings and also directly from your Media library.

If creating casting from Mediartis / Castings:

  • Click “Create New Casting” button (top right).
  • Name your project and confirm.

If creating casting from Mediartis / Media:

  • Select media and click “Add to casting“.
  • Name the casting and Enter.
  • Name the role and Enter.
  • Go to casting in Mediartis / Castings to complete project set up.

PERSONALIZATION

  • Set up your team by clicking “Invite Collaborators“.
  • Create roles manually or complete the Excel template “Import roles” to pre-format your project (See FAQ Add & import roles for details). Note: Include language codes in role names for quicker navigation (ex Jane EN / Jane FR / Jane IT…)
  • Add media to casting (see FAQ Adding Media for details).
  • Customize the order of casting media with drag & drop.
  • Talent names and media titles are masked in sharing versions, however, this information can be personalized (see below).
  • Write comments that are visible in shared versions.

MODIFICATION

  • Modify Casting names
  • Modify Role names (Type new name in box next to Role Name & Save)
  • Remove Roles (Click Remove to the right of the Role to Delete)
  • Edit media title (Click Actions then Edit)
  • Add comments (Click Actions then Edit)

DELETION

To delete a casting, go to Castings, click Actions to the far right of the line referencing the project, and click Delete. Casting deletions cannot be undone.

You can pre-format roles with our Excel import role template or create roles individually. New roles can be added later either by importing another template or creating roles individually.

OPTION 1 – IMPORT LIST OF ROLES DIRECTLY INTO A CASTING

Download the Excel casting roles template here or in the casting interface.

  • Complete the template
  • Drag & drop the completed file to the import pop-up window or browse your computer to upload the excel file
  • After the Mediartis pre-check, validate the role import

OPTION 2 – CREATE ROLES INDIVIDUALLY

Directly in a casting

  • Click “Add Role”, name the role and click enter.

In media list

  • Select the media file(s) from your media list
  • Click “Add to casting”
  • Select an existing casting or create a new one in pop-up and press “Enter”
  • Click “Add to casting”

From the media navigator

  • Click on “+” symbol next to talent’s name in the Media Navigator
  • Choose “Add to casting”
  • Select an existing casting or create a new one in pop-up and press “Enter”
  • Click “Add to casting”

CASE 1 – Add media from your Mediartis database

OPTION 1 – From the media list

  • In Mediartis / Media, select the media file from your media list
  • Click on “Actions”
  • Choose “Add to casting” and choose from:
    • Add to a New Casting:
      • If you’re creating a new project, type the name and press “Enter”
      • Type the role name and press “Enter”
      • Click “Add to casting”
    • Add to an Existing Casting:
      • Select the casting name and press “Enter”
      • Select the role name and press “Enter”
      • Click “Add to casting”

OPTION 2 – From the Media Navigator

  • In Mediartis / Media, Select the media files:
  • Click on “+” symbol next to talent’s name in the Media Navigator
  • Choose “Add to casting” and choose from:
    • Add to a New Casting:
      • If you’re creating a new project, type the name and press “Enter”
      • Type the role name and press “Enter”
      • Click “Add to casting”
    • Add to an Existing Casting:
      • Select the casting name and press “Enter”
      • Select the role name and press “Enter”
      • Click “Add to casting”

Case 2 – Add external or temporary media

  • In Mediartis / Castings, open the project
  • Click “Add Media” for the associated role
  • Drag & drop files to the pop-up or upload directly from your computer.

Case 3 – Add media from a partner’s casting received on Mediartis

To export complete or partial castings received by partners on Mediartis into new or existing internal castings:

  • In Mediartis / Castings / External Castings Shared With Me, open the project.
  • Click Export Casting
  • Select specific roles or all roles to export
  • Click Export roles

IMPORTANT
Castings containing imported media that have not been processed GDPR compliant via Mediartis will not be stamped “GDPR Compliant”.

Case 4 – Add media from external talent bank Voxing Pro

  • In Mediartis / Media, selection “Include media from Voxing Pro” next to search filters
  • Add media by selecting files from the main media list or adding files from the Media Navigator

If you are unable to add media to a casting and see the following message on your screen, it is most likely due to one of the following scenarios:

Mediartis casting compliance safeguards

Scenario #1 – GDPR action required

The contact is entered into GDPR processing and :

  • Your organization has not processed a modification or deletion request.
  • The contact has not renewed authorization.

To review the compliance status, refer to the GDPR status on Contacts and/or Media pages.

If you need to use the data in a casting immediately, we recommended contacting the talent and asking them to connect to their Mediartis interface to validate their authorization (they can request a connection link from the Mediartis homepage or here: https://app.mediartis.com/contact with the email address you have in their profile). Status changes are effective immediately.

Scenario #2 – GDPR N/A data

The contact and media are not subject to GDPR, but the contact status has not yet been set to “Outside Europe – GDPR N/A”.

To change the contact status:

  • Select the contact
  • Click “1 contact selected”
  • Select “Outside Europe – GDPR N/A” from the drop down menu
  • Confirm when prompted

In-house castings

In-house casting access and visibility is subject to user permissions and project participants. Users can invite team members who do not have permission by default to collaborate on projects.

See FAQ User permissions for more information.

Inbound castings

Inbound castings received from partners outside of a user’s organization are user-centric and only the people with whom a casting has been shared can interact with and view the project.

  • Click Collaborators on top right of casting screen
  • Select your team member from the list (Member and Guest roles)
  • Click Add

Shared castings are branded with the user’s logo and available in 7 languages (EN, FR, IT, DE, ES, PT, JA).

If the recipient was accorded ‘Sharing’ permission, they visualize reviews and ratings from people they shared the casting with.

If all media in the casting were GDPR processed on Mediartis, project privacy compliance is visible.

TALENT & MEDIA

  • Talent names and original media titles, masked and coded by default in shared castings, can be personalized
  • User comments are visible in the shared version
  • Integrated audio & video player

IMPORTANT!
– Be sure to double check your comments are “client-ready” as these are visible in the version they access.
– If all the media included in the casting were GDPR processed on Mediartis, the casting is stamped GDPR Compliant Casting, even if multiple suppliers contributed to the project.

Media is non-transferable and cannot be downloaded.

SHARING CASTINGS

  • On the casting page, click “Share casting”.
  • Provide recipient’s email address.
  • Select email invitation language (FR / EN / DE / IT / ES / JA / PT).
  • Attribute permissions (see below for details)
  • Confirm

Castings invitations are sent immediately. If the recipient does not see the invitation, they should check their promotion and spam folders, and add info@mediartis.com to their whitelist.

Connection links have a limited duration of 72 hours. New links can be requested at anytime at https://app.mediartis.com/castings.


PERMISSIONS

Mediartis castings are interactive. When sharing castings, users attribute permissions to the recipients.

VALIDATOR PERMISSIONS

Only one validator can be named per casting.

  • Can validate one talent proposition per role 
  • Can review and comment media
  • Can re-share casting with others and attribute Sharer & Standard permissions
  • Can view feedback of those with whom he shares the casting (he is the ONLY person who sees this feedback)

VALIDATOR feedback is visible to the sender’s entire casting team.


SHARER PERMISSIONS

  • Can review and comment media
  • Can re-share casting with others and attribute Standard permissions
  • Can view feedback of those with whom he shares the casting (he is the ONLY person who sees this feedback)

If SHARER is invited to casting by the organization who created the casting (N+0), their feedback is visible to the organization’s entire casting team.

If SHARER is invited to casting by a person with whom the casting was shared (N+1), their feedback is only visible to the person (N+1) who shared with them directly.


STANDARD PERMISSIONS

  • Can review and comment media

If STANDARD is invited to casting by the organization who created the casting (N+0), their feedback is visible to the organization’s entire casting team.

If STANDARD is invited to casting by a person with whom the casting was shared (N+1), their feedback is only visible to the person (N+1) who shared with them directly.


GIVING VALIDATIONS, REVIEWS AND COMMENTS

Reviews, comments and validations of the people with whom the user’s casting team has directly shared a casting, are visible to everyone in the user’s casting team. For other sharing levels, please see the image below.

VALIDATE TALENT PROPOSITIONS

One talent per role can be validated:

  • Click the validation box in “My feedback” OR
  • Toggle the Role Status to “Validated”: this validates the first talent presented for the role

REVIEW AND COMMENT MEDIA

  • Click “Add feedback”
  • Rate the media by clicking the number of stars you attribute
  • Write a comment
  • Save your changes
  • Click “Submit review” to alert the sender

REQUEST NEW TALENT PROPOSITIONS

  • Toggle the Role Status to “New proposition requested”
  • Click “Submit review” to alert the sender

VIEW VALIDATIONS, REVIEWS AND COMMENTS

  • Click message alert in “Recipient feedback” to view comments details (who, what, when)
  • Validated talent propositions have green checks in in “Recipient feedback” section
MEDIARTIS USER VIEW
RE-SHARED CASTING VIEW

Shared castings remain accessible to people with whom they’ve been shared until their access is revoked or the casting is deleted or archived.

If the casting has been archived, users can unarchive the project and the client can access.

To delete a casting access:

  • Click Share Casting
  • Click Revoke next to the email address of the person you are deleting access
  • Confirm deletion when prompted

If Castings include media that have been GDPR processed on Mediartis, a “GDPR Compliant Casting” stamp is visible in both the user interface and the shared version.

If media has been added to a casting by drag & drop, Mediartis cannot verify the compliance of the data and the compliance stamp will not be published.

Inbound castings received from external partners managing their media compliance on Mediartis will reflect the compliance of the project. If users add inbound partner media to their in-house castings, the compliance is tracked and visible in the castings shared with clients.

Multi-Partner Projects

Mediartis account holders can share castings with other Mediartis users for integration into one MASTER project involving multiple partners (vendors, agents, etc.). The casting delivered to the final client will only include the logo of the organisation who shares the casting with the client, all partner logos and references will not be visible.

Partner assets are never physically shared with other users. Assets are published in castings on streaming, allowing every partner to maintain full control of their assets at all times. Access permissions may be restricted and/or revoked at any time.

As with Mediartis client delivery, organisations assign user permissions when sharing castings. These attribute-based permissions determine the usages of other users. 

If the shared casting includes assets GDPR compliant processed on Mediartis, the compliance of the shared streamed assets integrated in the MASTER project are still valid. If all assets included in the project have been GDPR compliance processed on Mediartis, the MASTER casting delivered to the final client will be stamped GDPR compliant.

You received a casting from a partner who also uses Mediartis, and you want to use the received assets in a new casting or to complete an existing casting. 
When viewing the received casting, click on the “Import casting” button located on the top right corner.

Enter the name of your new casting, or choose an existing casting to which you want to add the received assets. Confirm with Enter.

Shared castings can be COMPLETELY imported into new and/or existing castings. All the roles and media (audio / video) assigned to the roles in the shared original casting, CAN be included in Client A’s MASTER casting and shared with their final client.

To choose which roles to integrate in your casting. You can select “All roles” to import everything, or on “Certain roles” and then on the role names you want to import. To confirm your selection, Click on “Add roles”. 

Find your new casting or merged casting in your Casting Library. You can edit it from there, and even add assets from your own database or from another external casting.

I received a casting from a partner who is also on Mediartis. How can I see the casting?

Option 1: You received an email from your partner with a link. Simply click on the link to see this casting.

Option 2: To see the casting directly in your Mediartis dashboard, click on the “Castings” tab. Then click on “External castings shared with me” and select the desired casting in the list.

GDPR compliance is tracked in imported castings, both in new and existing master projects.

If the shared casting includes assets GDPR compliant processed on Mediartis, the compliance of the shared streamed assets integrated in the MASTER project are still valid.

You can create compliant castings (stamped GDPR compliant) with: 

  • Partner data GDPR processed and compliant confirmed on Mediartis
  • Proprietary data from your organisation’s database GDPR processed on Mediartis

If the person who sent you the casting did not give you at least Sharer rights, you will not be able to import their casting into one of your castings.

If you need to use their assets in a new casting, ask the person who sent the casting to update your permissions. They should set them as either Validator or Sharer.

Account

In order to provide a maximum security environment for data storage, accounts are not accessible with static passwords. Every account connection requires an encrypted connection link sent by email. Connection links can only be used once.

To request a connection link, click Log In on the Mediartis homepage, and select one of the following (a connection link will be sent immediately by email) :

“I have a Mediartis database” :  https://app.mediartis.com/login

Provide account name (all capitals/no spaces) + email address associated with your User account

“I am referenced in a Mediartis database” :  https://app.mediartis.com/contact

Provide email address associated with Contact profile

 “I received a casting”:  https://app.mediartis.com/castings

To increase the duration of your session, click the connection duration (days / hours / minutes) on the top right of the screen. You can increase your connection to a maximum of 2 days at a time.

The email address provided in Account & Billing will receive all GDPR processing alerts (ie contact profile and media modification, deletion and correction requests, etc.)

To update this email address in your Mediartis account, click your account name in the top right corner, then click Account & Billing.

  • Click the pen icon located to the right of screen.
  • In the Email section, update the email address.
  • Click Update.

If you have Account & Billing permissions, you can view and modify the company information in your Mediartis account.

In your Mediartis account, click your account name in the top right corner, then click Account & Billing.

  • Click the pen icon located to the right of screen.
  • In the Company Information section, update your company name and / or billing address.

  • Click Update.

Your company logo is included in client casting presentations and also in the first GDPR processing email sent to the contacts in your database.

To update your logo in your Mediartis account (and if you have the correct user permission), click your account name in the top right corner, then click Communications & Branding.

  • Click the pen icon located above the logo section to the right of the screen.
  • Click Upload New Image.
  • Select logo from your computer.
  • Click Update

Team members access

Account Owners and Administrators have direct control over all User access and action permissions. User permissions are modifiable and can be deleted in real-time in Users.

Casting project access and action permissions also depend on the User’s role, and whether or not they created the casting or have been invited to collaborate.

Client casting access

When a casting is shared with someone, they only have access to the specific project they have been invited to. You can revoke their access at any time.

Contact access

Contacts from your database entered into GDPR processing have access to their personal data (name, address, watermarked samples, etc) in an encrypted and isolated interface.

Mediartis support team access

Mediartis Account Managers can only access your account if you accord permission and add them as a User.

You must create contacts (freelancers & artists) before uploading media to your account. Provide as much contact information as possible to optimize search features once your data has been imported.

Mediartis user permissions allow organizations to control the content users see, tasks that users can perform, and features users can access.

Roles can be modified by Users with permission at any time, and the modifications are immediate.

Owner: access and modify all information

Administrator: access and modify all information

Expert (Database + Casting Manager):

  • Castings: create, read, update, delete, share;
  • Contacts: create, read, update, delete;
  • GDPR controls: read, update;
  • Media: create, read, update, delete;
  • Users: create, read, update, delete.

Member (Casting Manager):

  • Castings: create, read, update, share, delete-only if created by this member;  
  • Contacts: read;
  • Media: read;
  • Users: create, read, delete => only Readers.

Guest:

  • Contacts: read (GDPR compliant + GDPR N/A);
  • GDPR status: read;
  • Media: read;
  • Castings: project access when invited to collaborate.

Account Owners and Administrators can modify all User permissions.
Experts can modify Members and Guests permissions.
Members can modify Guests permissions.
Guests cannot modify any User permissions.

Billing & payments

Mediartis subscriptions are designed to scale with the size of your business.

Mediartis proposes 4 different subscription plans. Plans are based on:

  • Number of Contacts (actors)

Mediartis subscriptions can be paid monthly or prepaid annually. Discounted pricing is offered for annually paid subscriptions.

All subscriptions include full access to all features with the exception of the Mediartis API. Casting tools and automated GDPR processing are available with active paid subscriptions.

Plans can be upgraded as your casting database grows. Additional User License packs are available “à la carte”.

Subscriptions are based on the number of Contacts in your casting database. Contacts added once you’ve reached your Contact tier limit cannot be used in Castings or entered into GDPR processing until you’ve upgraded to a new Subscription.

Upgrade to a new Subscription
To upgrade to a new Mediartis Subscription, you must have Account & Billing permissions.

In your Mediartis account, click your account name in the top right corner, then click Account & Billing.

  • Scroll down to the Subscriptions section
  • Select the new Subscription you want and click Select this Plan
  • Press Confirm when prompted
  • Your new Subscription will be shown to the right of the menu

To update your Payment Method:

  • Click Validate or update payment card.
  • Enter new card number, expiration date and CVC.

  • Click Validate or update payment card.

To update your VAT number:

  • Click the edit “pen” icon located to the right of screen.
  • In the Company Information section, update the VAT number.

To download an invoice:

  • Locate the invoice you want to download in the list.
  • Click the document icon in the PDF Format column to download the invoice

To download a receipt:

  • Locate the invoice you paid in the list.
  • Click the cloud icon in the Online payment column

  • Click Download receipt.

You can request the cancellation of your subscription and/or the deletion of your account by written notification addressed to :

If a User has purchased a Subscription that is still valid, the Subscription must be paid in full.

Account data export requests must be made 30 prior to account termination. Data provided on Mediartis are deleted within thirty (30) days from the date a subscription ends.

Account owners wishing to close an Account must request a Data Export of their Contact List and Media Database they have uploaded to their Account before terminating their Subscription.

Contact Lists and Media Databases uploaded to an Account during the course of a Subscription, will be deleted within 30 days from the date of Account Closure. After 23 days, the Account owner will be sent an email reminder that they have 7 days to download their Contact and Audio Database.

Compliance tools

Mediartis GDPR tools simplify the initial and ongoing privacy compliance obligations for companies collecting, storing and sharing freelancer and artist personal data from or within the EU.

On Mediartis, GDPR processing is optional and deactivated by default. Upon activation, the contact and their media enter automated compliance workflows. Mediartis alerts contacts their data is being processed by the user organization, and solicits, records and renews explicit opt-in consent of use, 100% independent of work contracts or NDAs, as required by the GDPR.

Contacts are invited to verify their data in a secure interface where they can visualize their data and media the user is processing. In accordance with the GDPR, contacts can request modifications and deletion of their data in this space.

Compliance management is ongoing, and Mediartis monitors user accounts to identify new data additions or data modifications that require new contact consent. Modification and deletion requests are recorded and routed, and non-compliant data is automatically deleted.

Mediartis simplifies internal GDPR management with weekly task alerts, real-time data compliance status, compliance reporting and casting privacy safeguards that ensure that only compliant data is used in castings.

In Mediartis / Contacts you can enter Contacts and Media into automated compliance workflows by activating Automated GDPR Processing.

Modifications made 60 days after GDPR Automated Processing is activated, including profile updates and new media additions, will trigger new compliance workflows that require Contact consent before the Contact or their Media can be used in castings.

Tags, Notes and Categorization modifications DO NOT trigger compliance workflows.

  • In “Contacts”, select contact(s) by clicking box to left of contact name(s)
  • Click “GDPR Activate automated processing for # contact”
  • Confirm when prompted

IMPORTANT
If a Contact is entered into GDPR Processing, they can only be added to a casting if their data (profile + media) is compliant.

GDPR: PAUSE PROCESSING

Pausing GDPR processing stops all compliance workflows for an unlimited amount of time. This is useful when modifying profiles and / or adding new media in several steps.

Personal data modifications and adding new media trigger compliance workflows and contacts will be alerted and asked to verify their data and authorize its use.

Pausing processing until all steps are completed helps to avoid your contacts receiving multiple emails.

To pause processing, in Mediartis / Contacts:

  • Select contacts by clicking the box next to their name
  • Click link “GDPR – Pause processing for # contact” and confirm your action

IMPORTANT – Contacts and media whose GDPR processing has been paused cannot be used in castings. Remember to activate processing once modifications are finished.


GDPR: DEACTIVATE PROCESSING:

  • Select contacts by clicking the box next to their name
  • Click link “GDPR -Deactivate processing for # contact” and confirm your action
  • Select “Outside Europe – GDPR N/A for # contact(s)” from the drop down menu to deactivate GDPR processing

IMPORTANT – Contacts and media must have GDPR processing activated or GDPR N/A specified in order to add them to castings. Castings with GDPR N/A media wont be stamped as a “GDPR Compliant Casting”.

Contacts entered into automated GDPR processing have access to an interface with their personal data referenced in your casting database, including their profile information (excluding Tags and Notes) and their media (watermarked for added security).

If a contact requests modifications of their data, their GDPR status changes to “Modification Requested” and the talent and their media cannot be used in castings until the modifications are processed.

If a contact requests deletion of their data, their GDPR status changes to “Rejected”. The organisation receives an automated alert of the deletion request and can either delete the data manually or wait for the platform to delete all data from the database within the legal delay from reception of the request. If the organisation has stored copies of the data on supports outside of the Mediartis platform, they must process the deletion request within thirty (30) days of the request.

Mediartis sweeps user databases regularly to identify new contacts and / or media, enter data into new workflows and update GDPR status.

CONTACT AND MEDIA GDPR STATUS

GDPR compliance status of every Contact and their Media is visible on the Contacts and Media screens. Click the filter icon to sort data by GDPR status.

Casting Safeguards
If a Contact profile is set to GDPR processing, the Contact and their associated Media can only be used in Castings if the data is compliant.

Contacts entered into Mediartis GDPR processing have permanent access to an interface that shows their personal data being processed by your organisation. The data includes “traditional” personal data, such as name, pseudo, telephone, address, email, birthday, etc., included in their profile (excluding Notes & Tags), and also their voice media (watermarked for added security).

In accordance with the rights granted to them by the GDPR, they have the choice to validate their data, request modifications, request their deletion.

Contacts entered into Mediartis GDPR processing are sent emails requesting their consent for their personal data to be referenced in a casting database and shared in castings; reminders their personal data is being processed; consent renewal requests; consent requests for all profile modifications and when new medias are added to their profile.

Communications sent from the platform are:

  • In the spoken language specified in Contact profiles if supported (English, French, German, Italian, Spanish (Castilian), Japanese, Portuguese (Brazil)).
  • If Contact language is not supported, communications are sent in English.
  • If no language is specified, communications are sent in the company language specified in the Branding Communications section.

To view the emails sent to your contacts, sign in to your Mediartis account, click on your account name on the top right, and then click on Email Templates in the dropdown menu. Only Admins and Owners roles can access Email Templates.

To update the default language of the GDPR processing emails sent to your Contacts from your Mediartis account, click your account name in the top right corner, then click Communications Branding.

  • Click the pen icon located above the logo section to the right of the screen.
  • Select language from “Default language for communications”.

  • Click Update.

Notes:
– If you do not select a default language, all GDPR communications will be sent in English when the language specified in a Contact’s profile is not supported by the platform.
– The following languages are currently available for GDPR communications: English, French, Italian, Spanish, German, Portuguese (Brazilian) & Japanese.

IMPORTANT
Your personalised message is included in the first email sent to your contacts for GDPR processing. A clear message from your company explaining why they’re being contacted by Mediartis on your behalf contributes strongly to the success of your casting database’s GDPR compliance.

To update your corporate message in your Mediartis account, click your account name in the top right corner, then click Communications & Branding.

  • Click the pen icon located above the logo section to the right of the screen.
  • Add your text to the message box on the bottom of the screen.

  • Click Update.

Users should assign a GDPR manager with “Owner” permissions to oversee their privacy activities on Mediartis.

All users with “Owner” permissions will receive weekly GDPR summaries, and email alerts when contacts make modification or deletion requests.

SHARING CASTINGS

  • On the casting page, click “Share casting”.
  • Provide recipient’s email address.
  • Select email invitation language (FR / EN / DE / IT / ES / JA / PT).
  • Attribute permissions (see below for details)

Castings invitations are sent immediately. If the recipient does not see the invitation, they should check their promotion and spam folders, and add info@mediartis.com to their whitelist.

Connection links have a limited duration of 72 hours. New links can be requested at anytime at https://app.mediartis.com/castings.


PERMISSIONS

Mediartis castings are interactive. When sharing castings, users attribute permissions to the recipients.

VALIDATOR PERMISSIONS

Only one validator can be named per casting.

  • Can validate one talent proposition per role 
  • Can review and comment media
  • Can re-share casting with others and attribute Sharer & Standard permissions
  • Can view feedback of those with whom he shares the casting (he is the ONLY person who sees this feedback)

VALIDATOR feedback is visible to the sender’s entire casting team.


SHARER PERMISSIONS

  • Can review and comment media

If SHARER is invited to casting by the organization who created the casting (N+0), their feedback is visible to the organization’s entire casting team.

STANDARD PERMISSIONS

  • Can review and comment media

If STANDARD is invited to casting by the organization who created the casting (N+0), their feedback is visible to the organization’s entire casting team.

If STANDARD is invited to casting by a person with whom the casting was shared (N+1), their feedback is only visible to the person (N+1) who shared with them directly.


GIVING VALIDATIONS, REVIEWS AND COMMENTS

Reviews, comments and validations of the people with whom the user’s casting team has directly shared a casting, are visible to everyone in the user’s casting team. For other sharing levels, please see the image below.

  • Click the validation box in “My feedback” OR
  • Toggle the Role Status to “Validated”: this validates the first talent presented for the role

STEP 1 – Log in

Emails are sent with connection links when castings are shared. If you don’t see the mail in your inbox, check your promotions or spam folders.

Connection links are valid for 72 hours. If your link has expired, request a new connection link on Mediartis (mediartis.com / login / I received a casting). You must use the same email address your partner shared the casting to.

Make sure your provider sent the casting to the right email address. If this is not the correct address, you will not be able to access the casting and leave your comments. Contact your supplier directly if in doubt.


STEP 2 – Select casting

Select the cast from the list to access it. You can sort this list by company, creation date, etc.

STEP 1 – Get your connection link email

Case #1 – You received an email from a company asking you to review and authorize use of your personal data referenced in their database on Mediartis

To access your personal data, click “Access my personal data” button in the email.

If the link has expired or you can’t find the email, please refer to Case #2 below.

Case #2 – You didn’t receive an email or the connection link in the email has expired

You can access your data at any time by requesting a connection link on this portal or on Mediarits.com / login. Enter the email address the organization has on file for you and click “Get your connection link”.

Check your inbox and click on the connection link (check your promotions & spam folders if necessary).


STEP 2 – Select an organisation

If you are referenced in multiple organisations’ databases, you’ll need to specify which one you want to access.

If you validate your data or request modifications or deletions, these actions will not be visible to other organisations. You will need to access your data in each organisation’s account for authorization and requests.

STEP 2 – Select an organisation

Click on the organisation for which you wish to review your personal data.


STEP 3 – Verify your personal data in “My Info”

  • To AUTHORIZE the organisation to reference your personal data in their freelancer & artist database click the green “AUTHORIZE” button (bottom left), and then click “CONFIRM”.
  • To request MODIFICATIONS: click orange “MODIFY” button (bottom middle), type your modification requests in the text box, and then click “SUBMIT” button to send your request.
  • If you want the organisation to DELETE all of your personal data and stop contacting you to work with them, click red “DELETE” button (bottom right) and then click “CONFIRM THE DELETION”. ATTENTION: If you select “DELETE”, all your media will also be refused by default and will be deleted from the organisation’s database within 30 days.

STEP 4 – Verify your media in MY MEDIA

In MY MEDIA, you can verify, authorize use of, and request deletion of all or select media.

  • To AUTHORIZE use of ALL of your media, click the green “AUTHORIZE” button (bottom left)
  • If you want the organisation to DELETE all of your media click red “DELETE” button (bottom right) and then click “CONFIRM THE DELETION”. Your data will be deleted from the organisation’s database within 30 days as required by the GDPR.
  • Please contact organizations directly if you wish to submit new media for their database.

In SUMMARY you have an overview of the choices you have made. To modify your choices, click on “My Info” or “My Media”, make changes, and save.
